Job Role & Responsibilities

The Project Support Coordinator plays a broad, system-and-documentation-focused role supporting assigned clinical trials. Core responsibilities include coordinating, overseeing, and completing functions on assigned trial activities as detailed on the task matrix, and performing department, internal, country, and investigator file reviews, documenting findings and following up for resolution where necessary. The coordinator ensures allocated tasks are completed on time, within budget, and to a high quality standard, flagging variances such as overburn or underburn for themselves and junior PSCs, and redistributing tasks based on junior team members’ available capacity.

The role also supports the maintenance and oversight of study-specific documentation and global systems, including study team lists, tracking of project-specific training requirements, system access management across the organisation, vendors, and clients, and tracking of project-level activity plans. System support is a significant part of the role, covering platforms such as CTMS, Oracle Activate, and eTMF, including managing access requests, supervising study-level documents, maintaining audit readiness, and flagging non-compliance with suggested resolutions to the study team.

Administrative responsibilities include timely processing of documents sent to CRO/Client eTMF systems, performing eTMF reviews and coordinating issue resolution, handling mass mailings and communications as needed, and providing documents and reports to internal team members. The coordinator also supports scheduling and organising client and internal meetings, completing and distributing meeting minutes, and following up on action items. Additional tasks include exporting and reconciling study metrics reports (with analysis required if working in a Lead capacity), maintaining and regularly checking vendor trackers, driving the compilation of Investigator Site File (ISF) templates and pharmacy binders under guidance from the Clinical Team Manager, and attending kick-off and project launch meetings, including note-taking and supporting initial study set-up.
